Mobile Notary for HR Departments & Hiring Managers in Massachusetts
Massachusetts employers hiring remote workers face a compliance challenge. Federal law requires Form I-9 Section 2 to be completed in person. The new hire usually does not live near the company headquarters. Some HR teams handle this themselves with a designated authorized representative. Most outsource to a mobile notary service that specializes in I-9 compliance.
This page explains exactly how we serve Massachusetts HR teams: I-9 authorized representative work, CORI notarization, corporate document signings and partnership pricing for employers across Boston, Cambridge, Lowell, Andover and Worcester.

3-day federal compliance from start date
HR sends Section 1 completed by employee
New hire completes Section 1 on day 1 (or before). HR shares the form with us along with employee location and start date.
We schedule with the employee
Mobile appointment at the employee home, coffee shop, library or coworking space. Within 3 business days of start date.
In-person document examination
Employee presents acceptable List A document (passport, green card, etc.) or List B + C combination. We verify documents are unexpired and appear genuine.
Complete Section 2
We fill out Section 2 with document details, sign as authorized representative, date and indicate physical examination occurred.
Return to HR
Completed I-9 returned to HR via secure portal, email or hard copy. Documentation kept of the examination process.
Acceptable I-9 Documents
Federal Form I-9 requires the employee to present documents proving identity AND work authorization. Either one List A document, or one List B document plus one List C document.
| List | Purpose | Common Documents |
|---|---|---|
| List A | Identity AND work authorization | U.S. passport, green card, employment authorization document, foreign passport with I-94 |
| List B | Identity only | Driver license, state ID, school ID with photo, military ID |
| List C | Work authorization only | Social security card, birth certificate, U.S. citizen ID, employment authorization issued by Department of Homeland Security |
The I-9 must be completed within 3 business days of the employee start date. We work with HR teams to schedule the in-person verification within this window. Late or missing I-9s create federal compliance exposure for the employer.
