Mobile notary: we come to you

A mobile notary travels to your home, workplace, hospital room or any agreed location in Massachusetts and performs the notarial act there. It is the right choice when the signer cannot travel, when several people must sign together or when the document has to be executed today. Every mobile visit includes travel, one notary seal and 15 minutes of service; extra seals and time are quoted up front.

Typical mobile appointments: a power of attorney at a kitchen table in Billerica, a vehicle title at a dealership in Lowell, a parental consent to travel in Cambridge the night before a flight, a retirement plan distribution form in Newton. Details, including what to have ready, are on the mobile notary service page and the how to prepare for a mobile notary guide.

Loan signing agent for mortgage closings

Massachusetts is an attorney-closing state: a licensed Massachusetts attorney conducts every real estate closing, and M.G.L. c.222 s.17 bars a non-attorney notary from acting as closing agent. We work as the NNA Certified Loan Signing Agent alongside the closing attorney, title company or lender: we verify identity, present the package, take the acknowledgments and jurats, keep the journal and ship the executed documents back the same day. We never conduct closings, handle funds or explain loan terms.

Purchase, refinance, HELOC, reverse mortgage, loan modification and discharge signings are quoted per package at booking and invoiced to the firm. The full description is on the loan signing agent page; the mechanics are in how to notarize a mortgage in Massachusetts.

Apostille and document authentication

An apostille is the certificate the Massachusetts Secretary of the Commonwealth attaches to a Massachusetts document so a Hague Convention country will accept it. The state fee is $6 per document. We notarize private documents first when required, review every page, submit to the Commissions Section in Boston and return the apostilled document to you or ship it abroad. For non-Hague countries we handle the certification and the federal and consular steps.

Birth, marriage and death certificates, diplomas and transcripts, powers of attorney, corporate documents and background checks are the usual files. See the Massachusetts apostille service page.

I-9 employment eligibility verification

Employers must examine a new hire’s original identity and work authorization documents in person within three business days of the start date, and a remote hire cannot do that by video unless the employer qualifies for the federal alternative procedure. We act as the employer’s authorized representative: we meet the employee, examine the originals, complete Section 2 and return the form to HR the same day. This is not a notarial act and the form is not notarized; it is a service a notary is well placed to provide because identity document examination is our daily work.

Remote hires in Boston, Cambridge, Waltham and the Merrimack Valley are the typical appointment. See I-9 form notary service.

CORI forms for employers, schools and volunteers

A Massachusetts CORI acknowledgment form requires the requesting organization to verify the subject’s identity with government-issued photo ID before the record can be requested from the Department of Criminal Justice Information Services. Schools, youth sports leagues, nonprofits and employers that cannot verify identity in person send the applicant to us, or book a group session at their site for new staff and volunteers.

We verify the ID, complete the verification section and, where the form or the organization requires it, administer the oath and complete a jurat. See CORI form notary service.

Hospital, nursing home and bedside visits

When a patient at Massachusetts General, Brigham and Women’s, Lahey Burlington, Lowell General, Newton-Wellesley or a rehabilitation or assisted living facility needs a power of attorney, health care proxy, deed or affidavit signed, we come to the bedside seven days a week. Hospital and nursing home visits are included in Zone 3 pricing.

The signer must be alert, understand the document and be able to communicate the intent to sign. A notary cannot notarize for someone who lacks capacity at the time of signing, and we decline when that is the case; families then work with an attorney on guardianship or an existing power of attorney. Massachusetts health care proxies under M.G.L. c.201D and wills under M.G.L. c.190B require two adult witnesses, whom the family arranges; we do not provide, supply, bring, coordinate or serve as witnesses. Timing around medication and nursing routines is coordinated in advance. See hospital notary service.

Powers of attorney, trusts, wills and health care documents

Estate planning documents are the second largest part of our work. A durable power of attorney under M.G.L. c.190B Article V is acknowledged before a notary. A will is signed before two witnesses, and the notary’s role is the self-proving affidavit under M.G.L. c.190B s.2-504 that lets the will be admitted without calling the witnesses. A revocable trust is acknowledged. A health care proxy needs two witnesses and no notary, though some institutions ask for one.

We notarize these documents at homes, hospitals, care facilities and attorneys’ offices, in English, Arabic or French. Legal questions about what the documents should say go to your attorney; a notary cannot draft or explain them. See power of attorney notarization, trusts and wills notary, medical document notary and the health care proxy guide.

Real estate deeds, discharges, 6D certificates and trustee’s certificates

Any instrument recorded at a Massachusetts Registry of Deeds must be acknowledged before a notary under M.G.L. c.183 s.29: deeds, mortgages, discharges, homestead declarations, trustee’s certificates, easements and the 6D certificate a condominium association issues under M.G.L. c.183A s.6(d). We notarize these for closing attorneys, sellers who cannot attend the closing, lenders’ officers signing discharges and condominium trustees signing 6D certificates at the management office or at home.

See real estate document notary and 6D certificate notary. For the bigger picture of how a Massachusetts closing fits together, read the role of a title company in a Massachusetts mortgage closing.

Business and corporate documents

Operating agreements, corporate resolutions and certificates of vote, commercial leases, vendor and partnership agreements, bills of sale, lien waivers, bank account resolutions and documents for foreign registration are notarized at your office, co-working space or job site. Officers sign in their stated capacity and the certificate records it. For group needs, such as a set of I-9s or CORI forms for new staff, we schedule a block at your location.

Companies sending documents overseas combine notarization with an apostille in one engagement. See business and corporate notary services.

Copy certification

Massachusetts notaries may certify that a photocopy is a true and complete copy of an original document presented to them, under M.G.L. c.222 s.15, for documents that are not public records. Passports, driver’s licenses, diplomas, letters and contracts qualify; birth certificates, court records and other public records do not, because certified copies of those come from the issuing office. Copy certification is common in apostille files and in immigration and university applications.

Bring the original; we make or examine the copy and attach the certificate. See copy certification notary.

Oaths, affirmations and affidavits

An affidavit is a written statement sworn before a notary; the notary administers the oath or affirmation and completes the jurat. Affidavits of identity, residency and support, RMV affidavits of correction, single-status affidavits for marriage abroad, sworn statements for court and letters for Social Security and pension administrators are everyday work. The difference between a jurat and an acknowledgment is explained in acknowledgment vs. jurat in Massachusetts.

We also administer oaths of office and oaths for depositions and remote testimony where the parties arrange it. See affidavit and sworn statement notarization and oath administration in Massachusetts.

Certified translations and multilingual notarization

Hanson is fluent in English, Arabic and French, so a document in Arabic or French can be notarized without an interpreter: he can read the document to confirm what it is, communicate with the signer in their language and complete the certificate in English as Massachusetts requires. For documents that USCIS, a court or a university must read in English, we arrange certified translations with a signed translator’s certification, from Arabic, French, Spanish and other languages, and notarize the translator’s statement when the receiving party asks for it.

See Arabic notary service, French documents notary service and translation services.

Mobile fingerprinting

Ink fingerprint cards on the standard FD-258 form are required for many professional licenses, firearms permits, adoptions, immigration filings and FBI Identity History Summary requests. We roll prints at the Tewksbury office or at your location, check each print for clarity and give you the completed cards to submit with your application. Fingerprinting is not a notarial act, but it is often needed alongside a notarized application or an apostilled FBI report, and we bundle the visits.

See mobile fingerprinting service.

Remote online notarization

Massachusetts authorized remote online notarization under 2023 Acts c.2. The signer and notary meet by audio-video on an approved platform, identity is proven through credential analysis and knowledge-based questions, the session is recorded and the document is signed electronically. RON suits a signer who is out of state or abroad with a document that the receiving party will accept in electronic form. It does not suit most recordable real estate instruments, which closing attorneys, lenders and registries still want in ink, and it is not a substitute for the in-person witnesses a will or health care proxy needs.

See remote online notarization and the comparison in mobile notary vs. online notary in Massachusetts.

In-office notarization in Tewksbury

If you can come to us, the fee is $45 per notarial act at 1215 Main St, Suite 115, Tewksbury, MA 01876, by appointment. Walk in with the unsigned document and your photo ID; most appointments take ten minutes. The office is on Route 38 with parking, close to Lowell, Billerica, Wilmington, Andover and Chelmsford. Apostille drop-offs, copy certifications, fingerprinting and I-9s for local hires all happen here.

See in-office notary service.

Who books these services, and what do they usually need?

Six kinds of clients make up almost all of our appointments, and each tends to need the same two or three services.

  • Closing attorneys, title companies and lenders need a loan signing agent for purchase, refinance and reverse mortgage packages, a notary for sellers’ deeds signed away from the closing, and 6D certificate and trustee’s certificate notarizations before condominium closings. Direct invoicing and same-day scans are standard.
  • Estate planning and elder law attorneys send us to clients’ homes and care facilities for powers of attorney, trusts, deeds into trust and self-proving affidavits on wills, with the family’s own witnesses present.
  • Employers and HR teams book I-9 verification for remote hires, CORI form verification for new staff and volunteers, and corporate document notarization at the office, often as a group session.
  • Hospitals, nursing homes and families need bedside notarization of powers of attorney, health care documents and deeds, scheduled around the patient’s condition and the unit’s routine.
  • Arabic and French speakers across Greater Boston need documents in those languages notarized without an interpreter, often with an apostille or certified translation for use abroad.
  • Individuals and families need a single document done today: a vehicle title, a consent to travel, an affidavit for the RMV or Social Security, a copy certification for a university application, at the kitchen table or at our Tewksbury office.

How does booking a mobile notary work?

Call, text or book online; tell us the document type, the number of signers, the location and when you need it; we confirm the time and the fee; you have the unsigned document and photo ID ready when we arrive. Most appointments are confirmed the same day they are requested.

  1. Request. Call (978) 424-4629 (Hanson direct, seven days) or (978) 851-0199 (office), or use the booking page. Attorneys, title companies, employers and facilities may book on behalf of the signer.
  2. Confirm the details. We ask what the document is (not what it says), how many signatures need a seal, whether witnesses are required and who is arranging them, and whether any signer has mobility, language or capacity considerations.
  3. Quote. Mobile visits follow the zone fees below; loan packages and attorney engagements are quoted per package. There are no fees added at the door.
  4. Prepare. Do not sign in advance. Have a current government-issued photo ID for every signer; the name must match the document. See what ID is accepted for notarization in Massachusetts.
  5. The visit. We verify ID, watch the signature or take the acknowledgment, administer any oath, complete the certificate, apply the seal and record the act in the journal required by M.G.L. c.222.
  6. Afterward. You keep the original. For attorney and title company files we scan and ship the same day.

Same-day, evening and weekend appointments are available by confirmation. See weekend notary service and emergency mobile notary in Boston.

Towns we visit most: Boston, Cambridge, Somerville, Brookline, Quincy, Newton, Waltham, Weston, Lexington, Concord, Arlington, Burlington, Woburn, Wilmington, Billerica, Tewksbury, Lowell, Chelmsford, Dracut, Andover, North Andover, Lawrence, Methuen, Lynn, Gloucester, Worcester, Fitchburg, Leominster and Gardner. The list of location pages is at notary service locations, with Boston neighborhoods from Back Bay to Dorchester.

A Massachusetts notary may notarize only while physically in Massachusetts, so a signer in New Hampshire or Rhode Island needs a notary commissioned there, or a remote online session where the document allows it.

Is there a mobile notary in Boston who speaks Arabic or French?

Yes. Hanson Webb is fluent in English, Arabic and French and notarizes documents written in Arabic or French throughout Greater Boston and Massachusetts without an interpreter. He has served the Arabic- and French-speaking communities since 2007. Notarial certificates are completed in English as Massachusetts requires.

Can you notarize a power of attorney at a hospital or nursing home?

Yes, seven days a week, at hospitals, nursing homes, rehabilitation centers and assisted living facilities across our service area. The signer must be alert, understand the document and be able to communicate the intent to sign; we cannot notarize for someone who lacks capacity. Any witnesses the document requires are arranged by the family. Bookings are confirmed in advance.

What is a certified loan signing agent?

A notary public who has completed NNA training in loan packages and fraud prevention, passes an annual background screening and carries errors and omissions insurance, and who is retained by closing attorneys, title companies and lenders to verify identity, present the package and notarize the documents. In Massachusetts the closing itself is conducted by a licensed attorney; the signing agent works alongside the attorney and never conducts the closing.

How do apostille services work in Massachusetts?

An apostille is issued by the Massachusetts Secretary of the Commonwealth to authenticate a Massachusetts document for a Hague Convention country, for a $6 state fee per document. We notarize private documents first where required, review the file, submit it to the Commissions Section in Boston and return the apostilled document to you or ship it abroad. Birth and marriage certificates, diplomas, powers of attorney and corporate documents are the most common.

How much does a mobile notary cost in Massachusetts?

From $125 per visit in Zone 1 (Tewksbury, Gardner, Ashby, Athol), from $179 in Zone 2 (Lowell, Billerica, Andover, Worcester, Burlington, Woburn and 40+ more) and from $250 in Zone 3 (Boston, Cambridge, Newton, Lexington, Wellesley, Weston, Lynn, Gloucester and 110+ more). Every mobile fee includes travel, one seal and 15 minutes. In-office notarization is $45 per act. Loan signings are quoted per package.

Do you provide witnesses?

No. Wills and health care proxies in Massachusetts require two adult witnesses, and some other documents call for witnesses as well. The signer arranges them. We do not provide, supply, bring, coordinate or serve as witnesses; we perform the notarial act.

What ID do I need for a notarization?

A current, unexpired government-issued photo ID with your name and signature: a Massachusetts driver’s license or RMV ID, U.S. passport or passport card, military ID or permanent resident card. The name must match the document. Massachusetts requires the notary to state on the certificate how identity was established.

Can you notarize a document online instead of in person?

Yes, for documents the receiving party will accept with an electronic notarization, under Massachusetts remote online notarization law (2023 Acts c.2). Recordable real estate documents, wills and health care proxies are generally signed in person. We will tell you at booking which option fits your document.

Do you provide legal advice about my documents?

No. Hire Mobile Notary and Neighborhood Parcel are not a law firm, and Hanson Webb is not an attorney. A notary cannot draft documents, explain their legal effect or tell you which document you need. For legal guidance, consult a licensed Massachusetts attorney; we will notarize what the attorney prepares.
